Welcome to the UNSW Register Your Travel form!

This essential step ensures that your travel plans are reviewed and approved by the university.

After you submit the form, you will receive an email from our automated system within a few hours. This email will guide you through the process of preparing for your time abroad, which consists of completing the Travel Preparation Quiz. For instructions, refer to the guide UNSW Learning Abroad Short Programs | Student Travel Preparation.

This form should be submitted by UNSW students going on overseas programs such as: short courses, Work Integrated Learning (WIL), internships, engineering industrial training, overseas medical electives, faculty led study tours, research or co-curricular programs.

Exceptions:

  • If you are participating in a Learning Abroad short program, Law elective, or an NCP-funded project, you do not need to submit the Register Your Travel form. You will receive the Travel Preparation Quiz instructions via email after your nomination or application is confirmed.
  • UNSW Exchange Students refer to: Student Exchange | UNSW Current Students.
  • HDR students should refer to: Graduate Research | UNSW Research.
  • Student making travel arrangements through UNSW MyTravel do not need to also complete the UNSW Learning Abroad Student Travel Risk Assessment as the risk assessment will be done through MyTravel. Refer to MyTravel@UNSW - Home.

Important Note:

  • Do not submit more than one form per trip.
  • Medicine Elective students: You must submit a form for each placement, destination and set of travel dates. If you have multiple placements for a single trip, only one form is required.

  • Engineering Industrial Training - Work Integrated Learning (WIL) students: Apply for approval to undertake your WIL/Industrial Training activity before completing the Register Your Travel Form. You must gain approval for both your placement from UNSW Engineering and seek travel approval prior to travel. 

  • Please check your JUNK folder and if the email is in your JUNK folder, you will need to add us to your Safe Sender list.

Are you planning to travel to a destination that is DFAT Advice Levels 1 or 2 but includes regions flagged as high-risk, DFAT Levels 3 or 4, according to Smartraveller.gov.au?

If so, your safety may be at higher risk. High-risk destinations will require further review, and the assessment process might take longer than expected. UNSW does not approve travel to DFAT Level 3 or 4 destinations.

 I acknowledge and understand:

  • As a UNSW student undertaking a Learning Abroad Short program either abroad or virtually, for credit, co-curricular or extra-curricular purposes, I am required to agree to serve as a positive ambassador for UNSW and abide by the UNSW Student Code of Conduct while overseas or if in an online environment.
  • The UNSW Learning Abroad Short Programs Terms and Conditions.
  • I give consent to UNSW to disclose my personal information to international SOS who are acting on behalf of UNSW as our International Emergency response service.

Regarding my travel, I agree:

  • to complete the compulsory pre-departure briefing E-Learning modules in the Preparing for your time abroad Tutorial modules before travelling abroad.
  • UNSW will provide an outcome on my ability to travel..
  • If I am not approved to travel, I will be withdrawn from my Learning Abroad Program.
  • If my travel is approved, I am required to register with International SOS, UNSW’s emergency and medical services provider for students overseas, throughout my Learning Abroad Program.
  • If my travel is approved, I am required to purchase return ticket.
  • UNSW has the discretion to deny or rescind my travel approval if destination is deemed high risk.
  • I may not be covered by UNSW insurance if my travel is not approved or the DFAT Advice Level of my destination changes to Level 3 or 4.
  • I will implement the appropriate precautions or mitigations to maintain my safety and wellbeing.
  • I will read and understand the SmartTraveller and International SOS advice for the destinations.
  • I will download the International SOS Assistance App on my phone.
  • I will register with Smartraveller.gov.au for up-to-date travel advice on my destinations.
  • I will check with International SOS and Smartraveller travel warnings and advice for the regions that I will be travelling.
  • I will check that I have sufficient travel insurance.
  • I will organise a health check and ensure I have necessary immunisations and legal medications.
